The HR Module Most Companies Have But Don’t Actually Use<\/h2>\n\n\n\n

It is 2026, and most Malaysian companies have moved attendance to face recognition clock-in, leave to mobile self-service, and payroll to automated statutory calculation. The one HR process that has somehow not moved with them is the expense claim. A typical Malaysian claim still looks like this: the employee takes a photo of the receipt, types a quick message in the team WhatsApp group, the manager replies “OK”, someone in admin types it into an Excel sheet, finance reconciles the sheet at month-end, and payroll adds the reimbursement to the next payslip.<\/p>\n\n\n\n

This is the workflow for a process that the company has either already paid for as part of its HRMS, or could pay a small monthly fee to digitize tomorrow. The claim module sits in the HR suite, unused or barely used, while the actual workflow runs on a chat application designed for friends and family.<\/p>\n\n\n\n

It is the cheapest HRMS win Malaysian companies are not taking.<\/p>\n\n\n\n

Why Claim Got Left Behind<\/h2>\n\n\n\n

When companies digitize HR, the order is usually predictable. Attendance comes first, because biometric devices and time records are visible problems with obvious returns. Payroll comes next, because statutory calculations are legally exposed and getting them wrong is expensive. Leave comes alongside, because leave applications are the highest-volume HR transaction. Claim, somewhere in the project plan, gets moved to “Phase 2”, and Phase 2 quietly never starts.<\/p>\n\n\n\n

The reason is not laziness. It is that claim feels secondary. A late attendance record can trigger a labour dispute. A wrong payroll calculation can land a Section 24 deduction case at the Industrial Court. A missed leave application can affect operations. A claim that takes three weeks to reimburse just annoys the employee, and most employees in Malaysia have learned not to expect better.<\/p>\n<\/div><\/div>\n\n\n\n

So the WhatsApp workflow stays in place, gets normalised, and over time becomes the way the company has always done it.<\/p>\n\n\n\n

What WhatsApp-Based Claim Actually Costs<\/h2>\n\n\n\n

The cost is invisible because it is distributed across five different people and never adds up in one report.<\/p>\n\n\n\n

No audit trail.<\/strong> A claim approval that happened in a WhatsApp group is not a record. If a claim is disputed later, an employee says it was submitted but never paid, or finance says an approver did not actually approve, there is no system entry to refer to. The chat history can be searched, sometimes successfully, often not, and what was approved gets argued over.<\/p>\n\n\n\n

No policy enforcement.<\/strong> The claim categories the company set in its handbook, the per-trip mileage rate, the monthly meal cap, the receipts-required threshold, none of these are enforced by WhatsApp. The manager who approves the claim is the only gatekeeper, and managers approve quickly because they are busy. Policy violations are caught only when finance happens to notice, which means most are not caught.<\/p>\n\n\n\n

Manual re-entry.<\/strong> The receipt photo and the approval message do not travel from WhatsApp into Excel by themselves. Someone retypes them. Re-entry produces errors. Errors produce reconciliation conversations. Reconciliation conversations produce time.<\/p>\n\n\n\n

No spend visibility.<\/strong> Finance can tell you what was reimbursed last month after they reconcile. They cannot tell you what is in the pipeline, what category is trending, which approvers are running through claims without scrutiny, or whether the team that just exceeded its quarterly claim budget did so this week or three months ago. Spend visibility lives in past tense.<\/p>\n\n\n\n

Payroll integration that does not exist.<\/strong> The approved claim eventually has to make it to payroll for reimbursement. WhatsApp does not talk to payroll. The Excel sheet that came from WhatsApp has to be exported into a payroll import format, or the figures get manually keyed in. Each step is an opportunity for the reimbursement amount to be wrong, late, or missed entirely.<\/p>\n\n\n\n

What a Connected Claim Module Does Instead<\/h2>\n\n\n\n

The whole sequence, from submission to payroll, takes the same amount of time as the WhatsApp approach, and produces a complete, defensible, reportable record at the end of it.<\/p>\n\n\n\n

The Easiest HRMS Win You Have Not Taken<\/h2>\n\n\n\n

Most companies that have an HRMS already have a claim module included or available. The barrier is not cost or technology. It is the inertia of a workflow that has been running on WhatsApp for so long that no one remembers it could be different.<\/p>\n\n\n\n

The claim that takes three weeks to reimburse is not a system limitation. It is a workflow choice. The same module that fixes it is sitting in the HR suite the company already bought, waiting for someone to start using it.<\/p>\n\n\n\n
