Three years of this and the community ends up with the situation most JMBs only discover during a committee handover: a resident database that no longer reflects reality, a vehicle whitelist nobody trusts, and a stack of physical tenancy agreements no one can locate.<\/p>\n\n\n\n
The structural reason is that move-in and move-out involves four parties: the unit owner, the tenant, often a property agent, and the management office. None of them owns the workflow. In the absence of a system, the workflow defaults to whoever the new tenant speaks to first, which is usually the guard. The JMB then inherits whatever records the guard chose to capture that day.<\/p>\n\n\n\n

Move-in starts before the tenant arrives. The owner or agent initiates a structured E-Form, which routes through multi-level approval at the management office. By the time the tenant collects keys, the platform already holds the lease record, the move-in date, the agreed tenancy period, and the upload of the tenancy agreement under the document store’s tenancy category, which carries its own expiry reminder.<\/p>\n\n\n\n
